Purpose

The Crafter’s Market Network, operated by Hearthstone Enterprises, LLC (“the Network”), is committed to creating attractive, organized, and professional marketplaces that provide an outstanding experience for shoppers, vendors, sponsors, venue partners, and the communities we serve.

These Booth Presentation Standards establish the minimum expectations for vendor displays at all Network events.

While vendors are encouraged to showcase their own unique brand and creativity, every booth should contribute to a clean, welcoming, organized, and family-friendly marketplace.


1. Professional Appearance

Each booth should remain neat, organized, and visually appealing throughout the event.

Vendors are encouraged to:

  • Present products in an attractive and organized manner.
  • Keep tables and displays clean and orderly.
  • Restock merchandise as needed.
  • Promptly remove trash, empty boxes, and clutter.
  • Create an inviting shopping environment.

A professional booth presentation reflects positively on both the vendor and the Network.


2. Booth Boundaries

All displays, merchandise, furniture, equipment, signage, and promotional materials must remain within the vendor’s assigned booth space unless prior approval has been granted by the Network.

Vendors may not:

  • Extend displays into aisles.
  • Block neighboring booths.
  • Obstruct emergency exits.
  • Place merchandise in common walkways.
  • Store excess inventory where it creates a safety hazard or negatively impacts the appearance of the marketplace.

Booth boundaries may not be altered without authorization.


3. Table Coverings

Tables should be covered with clean, well-fitting tablecloths or coverings whenever practical.

Floor-length table coverings are encouraged because they:

  • Create a more professional appearance.
  • Conceal storage beneath tables.
  • Improve the overall presentation of the booth.

4. Product Displays

Products should be displayed safely, attractively, and professionally.

Displays should:

  • Be stable and secure.
  • Allow customers to browse comfortably.
  • Protect fragile merchandise.
  • Avoid excessive clutter.
  • Clearly separate product categories whenever practical.

The Network may require vendors to correct displays that present safety concerns.


5. Signage

Each booth should clearly identify the vendor’s business.

Recommended signage includes:

  • Business name.
  • Logo or branding.
  • Social media information.
  • Website or QR code.
  • Accepted payment methods.

Whenever practical, prices should be clearly displayed to improve the customer shopping experience.


6. Branding

Vendors are encouraged to create a consistent brand experience through coordinated:

  • Colors.
  • Banners.
  • Table coverings.
  • Packaging.
  • Business cards.
  • Marketing materials.
  • Product labels.

Professional branding helps customers recognize and remember your business.


7. Lighting

Where electricity or battery-powered lighting is permitted, lighting should:

  • Enhance product visibility.
  • Be safely installed.
  • Avoid creating glare or distractions for neighboring vendors.
  • Comply with venue electrical requirements.

Open-flame lighting is prohibited unless specifically approved by both the venue and the Network.


8. Sound and Demonstrations

Music, videos, demonstrations, or amplified sound should enhance—not disrupt—the marketplace.

Vendors must ensure that sound levels remain respectful of neighboring booths and customers.

The Network may require vendors to:

  • Reduce sound volume.
  • Modify demonstrations.
  • Discontinue activities that interfere with the event atmosphere or create safety concerns.

9. Storage

Whenever practical, vendors should:

  • Keep boxes out of customer view.
  • Store extra inventory neatly.
  • Avoid stacking storage containers in customer-facing areas.
  • Maintain clear walkways inside the booth.
  • Keep personal belongings organized and out of sight.

A clean, organized booth contributes to a better customer experience.


10. Cleanliness

Vendors are expected to:

  • Keep booth areas free of trash.
  • Dispose of waste properly.
  • Clean spills immediately.
  • Remove packing materials promptly.
  • Leave their assigned space in the same or better condition than it was found.

11. Seasonal Decorations

Seasonal decorations are encouraged when they complement the event theme.

Decorations should:

  • Be securely installed.
  • Remain within booth boundaries.
  • Avoid creating safety hazards.
  • Be appropriate for the advertised audience unless otherwise approved.

The Network may request the removal of decorations that present safety concerns or are inconsistent with the event.


12. Customer Experience

Successful booths create welcoming and enjoyable shopping experiences.

Vendors are encouraged to:

  • Greet customers warmly.
  • Be available to answer questions.
  • Allow customers to browse without unnecessary pressure.
  • Avoid aggressive sales tactics.
  • Keep aisles open and accessible.
  • Maintain a friendly, professional attitude throughout the event.

13. Booth Staffing

Booths should remain staffed during all published event hours.

If a vendor must briefly leave their booth, they should:

  • Secure merchandise whenever practical.
  • Protect payment equipment.
  • Return promptly.

Early booth breakdown or departure is prohibited unless specifically authorized by the Network.


14. Organizer Discretion

If a booth presentation creates safety concerns, significantly detracts from the marketplace, or violates Network policies, the Network may request reasonable corrections during the event.

Examples include:

  • Removing trip hazards.
  • Repositioning displays within booth boundaries.
  • Lowering oversized signage.
  • Reducing excessive sound.
  • Improving overall booth organization.
  • Removing unapproved merchandise.
  • Correcting unsafe display practices.

Vendors are expected to cooperate promptly with reasonable requests intended to improve safety, professionalism, and the overall event experience.

Failure to comply may result in additional action under the Vendor Agreement.


15. Our Shared Standard

Every booth contributes to the success and reputation of a Network event.

By maintaining attractive, organized, safe, and welcoming displays, vendors help create marketplaces that shoppers enjoy visiting year after year.

A professional presentation benefits everyone by:
