Purpose

The Crafter’s Market Network, operated by Hearthstone Enterprises, LLC (“the Network”), is committed to providing fair and consistent policies for all vendors.

This Cancellation & Refund Policy explains how vendor cancellations, booth fees, event credits, waitlists, booth transfers, and event cancellations are handled for events operated by the Network.

By submitting a vendor application, accepting an invitation to participate, reserving booth space, making payment, or participating in a Network event, vendors acknowledge that they have read and agree to this policy.


1. Vendor Cancellations

If you are unable to attend an event, please notify the Network as soon as possible.

Prompt notification allows us to:

  • Offer your booth space to a vendor on the waitlist.
  • Maintain a full marketplace.
  • Improve the experience for shoppers and participating vendors.

Failure to notify the Network may affect eligibility for future events.


2. Booth Fees

All booth fees are non-refundable.

Booth fees reserve space at an event and help cover expenses incurred well before the event takes place, including but not limited to:

  • Venue rental and deposits.
  • Advertising and marketing.
  • Insurance.
  • Equipment rentals.
  • Event staffing.
  • Administrative costs.
  • Website and registration expenses.
  • Operational planning.

For this reason, booth fees are not refundable except where required by applicable law or expressly approved by the Network.


3. Event Credit Eligibility

A vendor who cancels at least forty-five (45) calendar days before the scheduled event may request a one-time event credit equal to the booth fee paid.

To qualify:

  • Written cancellation must be received no later than forty-five (45) calendar days before the event.
  • The request for an event credit should be made at the time of cancellation or within a reasonable period thereafter.
  • Credits are issued only to the original vendor account.
  • Credits are non-transferable unless otherwise approved in writing by the Network.

Issuance of an event credit is subject to verification that the vendor meets the requirements of this policy.


4. Event Credit Terms

Approved event credits:

  • Are valid for twelve (12) months from the date of issuance.
  • May be applied toward booth fees for future Network events, subject to vendor acceptance and space availability.
  • Have no cash value.
  • Cannot be redeemed for cash.
  • Cannot be refunded.
  • May not be transferred without written approval from the Network.

Unless otherwise approved in writing, any unused portion of an event credit is forfeited.


5. Cancellations Within Forty-Five (45) Days

Cancellations received fewer than forty-five (45) calendar days before the event are not eligible for refunds or event credits.

This includes, but is not limited to:

  • Schedule conflicts.
  • Illness.
  • Transportation problems.
  • Weather concerns.
  • Business obligations.
  • Personal emergencies.
  • Failure to appear on event day (“no-shows”).

The Network understands that unexpected situations occur; however, because significant event expenses have already been incurred, exceptions generally cannot be made.


6. Event Cancellation by the Network

If the Network cancels an event because of circumstances beyond its reasonable control, including but not limited to:

  • Severe weather.
  • Natural disasters.
  • Venue closures.
  • Government actions or orders.
  • Public safety concerns.
  • Utility failures.
  • Public health emergencies.
  • Other unforeseen events.

The Network may:

  • Cancel the event.
  • Postpone the event.
  • Relocate the event.
  • Modify the event schedule.

When an event is canceled, vendors will generally receive an event credit equal to the booth fee paid.

Refunds will generally not be issued unless:

  • Required by applicable law; or
  • Specifically authorized by the Network.

The Network’s decision regarding event cancellation, postponement, relocation, or modification shall not constitute a breach of any vendor agreement.


7. Weather Policy

Most Network events are conducted rain or shine.

A vendor who elects not to attend because of forecasted or actual weather conditions while the event remains open is considered to have voluntarily canceled participation and is subject to this policy.

Weather-related vendor cancellations do not qualify for refunds or event credits unless otherwise approved by the Network.


8. Waitlist Offers

If a vendor cancels and a booth becomes available, the Network may offer the space to a qualified vendor on the waitlist.

Acceptance of a waitlist invitation does not alter or waive any provision of this Cancellation & Refund Policy or other Network policies.


9. Booth Transfers

Booth reservations may not be sold, transferred, assigned, or shared with another business or individual without the prior written approval of the Network.

Any approved transfer remains subject to:

  • Vendor approval.
  • Event eligibility requirements.
  • Payment requirements.
  • All published Network policies.

Unauthorized transfers may result in cancellation of the reservation without refund.


10. Exceptional Circumstances

The Network recognizes that extraordinary situations occasionally occur.

Any exception to this policy is granted solely at the discretion of the Network and should not be interpreted as creating an ongoing policy or precedent for future requests.

No waiver of one provision shall constitute a waiver of any future application of this policy.
