Purpose

The Crafter’s Market Network, operated by Hearthstone Enterprises, LLC (“the Network”), uses photography, video, audio, and other media to promote our events, celebrate our vendor community, and share the experiences that make our marketplaces successful.

This Photography & Media Release explains how images, recordings, and other media captured during Network events may be used.

By participating in a Network event, vendors acknowledge and agree to the terms of this policy.

1. Consent to Photography and Recording

By participating in any event operated by the Network, vendors acknowledge and consent to being photographed, filmed, livestreamed, or otherwise recorded while attending or participating in the event.

This may include images or recordings of:

Vendor booths
Products and merchandise
Booth displays
Demonstrations
Event activities
Vendor representatives and staff
Customers and attendees in public event areas

Photography and video may be captured by:

Network organizers
Employees
Volunteers
Contracted photographers or videographers
Authorized sponsors
News media
Marketing partners
Individuals acting on behalf of the Network

2. Promotional Use

The Network may use photographs, videos, and other media captured during events for promotional, educational, informational, and marketing purposes, including but not limited to:

Official websites
Social media platforms
Event listings
Printed advertising
Digital advertising
Email newsletters
Email marketing campaigns
Vendor recruitment
Sponsor presentations
Press releases
Media coverage
Future event promotion
Educational or training materials

Media may be edited, cropped, resized, reformatted, or otherwise modified for publication while preserving the general integrity of the content.

3. No Compensation

Participation in a Network event grants the Network permission to use photographs, video, audio, and other approved recordings without compensation, royalties, licensing fees, or additional approval.

Vendors waive any claim to compensation arising from the authorized use of event media under this policy.

4. Vendor-Owned Intellectual Property

Vendors retain ownership of their own:

Logos
Branding
Artwork
Product designs
Photographs
Marketing materials
Other original intellectual property

Nothing in this policy transfers ownership of a vendor’s intellectual property to the Network.

However, vendors grant the Network a non-exclusive, worldwide, royalty-free license to use photographs and video captured by or on behalf of the Network that include the vendor’s booth, products, branding, displays, or representatives for the promotional purposes described in this policy.

This license does not authorize the Network to reproduce or manufacture a vendor’s products for sale.

5. Third-Party Media

Members of the news media, bloggers, photographers, influencers, content creators, and other third parties may attend public events.

The Network is not responsible for independent photography, videography, livestreams, or other media created by third parties in public event spaces.

Questions regarding third-party media should be directed to the individual or organization responsible for creating the content.

6. Vendor Photography

Vendors are encouraged to photograph and promote their participation in Network events.

When photographing or recording during an event, vendors should:

Respect the privacy of customers.
Avoid disrupting neighboring booths.
Refrain from blocking walkways.
Avoid interfering with event operations.
Obtain permission before conducting extended photo or video sessions involving another vendor’s booth, products, or branding.

Professional courtesy helps create a positive experience for everyone.

7. Customer Privacy

Network events are generally held in public venues where photography and video recording are common and reasonably expected.

While organizers strive to respect legitimate privacy concerns, the Network cannot guarantee that vendors, customers, volunteers, entertainers, or attendees will not appear incidentally in photographs or recordings captured during public events.

8. Requests for Review or Removal

If a vendor believes that media published by the Network creates a legitimate privacy, personal safety, or legal concern, the vendor may submit a written request for review.

Although the Network is not obligated to remove published media, reasonable requests will be considered on a case-by-case basis.

The Network reserves the right to determine whether removal, modification, or continued publication is appropriate.

9. Recording Restrictions

The Network reserves the right to restrict photography, videography, livestreaming, drone usage, commercial recording, or other media activities in specific areas or during certain activities when necessary to protect:

Safety
Privacy
Contractual obligations
Intellectual property
Venue requirements
Event operations

Vendors and attendees are expected to comply with any posted or communicated recording restrictions.

10. Questions

Questions regarding photography, videography, media use, or this policy may be directed to the Network before or after an event.

We are happy to answer questions regarding how event media is used and to discuss reasonable concerns whenever possible.
