The Crafter’s Market Network, operated by Hearthstone Enterprises, LLC (“the Network”), depends upon the trust of our vendors, shoppers, volunteers, sponsors, venue partners, and the communities we serve.
Every organizer represents not only their individual event but also the reputation, values, and integrity of the entire Network.
This Organizer Code of Ethics establishes the professional standards expected of every individual who organizes, manages, volunteers in a leadership capacity, or otherwise officially represents the Network.
By accepting an organizer or leadership role, each individual agrees to uphold the principles outlined in this Code.
1. Integrity
Organizers shall conduct themselves honestly, ethically, professionally, and in the best interests of the Network.
Organizers will:
- Act with honesty and transparency.
- Honor commitments whenever reasonably possible.
- Avoid deceptive, misleading, or unethical practices.
- Make decisions that support the long-term success of the Network.
- Conduct themselves in a manner that reflects positively on the Network.
2. Fairness
Organizers are expected to treat every vendor, applicant, volunteer, and participant fairly and consistently.
Organizers will:
- Apply published policies consistently.
- Avoid favoritism.
- Evaluate vendor applications objectively.
- Clearly communicate expectations.
- Respect every applicant regardless of acceptance status.
- Make decisions based upon the best interests of the event.
3. Professional Conduct
Organizers represent the Network whenever performing official duties.
Organizers will:
- Communicate respectfully and professionally.
- Remain calm during disagreements.
- Treat vendors, customers, volunteers, sponsors, and venue staff with courtesy.
- Maintain appropriate professional boundaries.
- Promote a welcoming, family-friendly environment.
- Avoid behavior that could damage the reputation of the Network.
4. Transparency
Organizers should communicate honestly regarding:
- Event information.
- Booth availability.
- Fees.
- Deadlines.
- Policy updates.
- Event changes.
- Event challenges when appropriate.
When mistakes occur, organizers should acknowledge them promptly and make reasonable efforts to resolve them professionally.
5. Stewardship of Network Resources
Organizers are entrusted with the reputation, branding, finances, and resources of the Network.
Organizers will:
- Use Network branding appropriately.
- Protect confidential information.
- Maintain accurate records.
- Safeguard funds and event assets.
- Follow approved financial procedures.
- Exercise good judgment when managing Network resources.
No organizer may use Network assets, funds, branding, or confidential information for personal benefit without authorization.
6. Respect for Vendors
Vendors are valued business partners whose success contributes to the success of every event.
Organizers will:
- Listen respectfully to concerns.
- Respond within a reasonable timeframe whenever practical.
- Encourage open communication.
- Support vendor success.
- Apply policies consistently.
- Treat every vendor with fairness and professionalism.
7. Respect for Volunteers
Volunteers are essential members of the Network.
Organizers will:
- Provide clear expectations.
- Foster a welcoming environment.
- Recognize volunteer contributions.
- Provide appropriate supervision.
- Address concerns respectfully and professionally.
8. Community Relationships
Organizers represent the Network throughout the communities we serve.
Organizers will:
- Maintain positive relationships with venues.
- Support local businesses whenever practical.
- Respect community partners.
- Conduct themselves professionally with sponsors and public officials.
- Protect and strengthen the reputation of the Network.
9. Conflicts of Interest
Organizers should avoid situations in which personal interests could improperly influence official decisions.
Examples include:
- Giving preferential treatment to one’s own business.
- Providing special consideration to family members or close friends outside established procedures.
- Accepting gifts or favors intended to influence decision-making.
- Using confidential information for personal gain.
Any actual or potential conflict of interest should be disclosed to Network leadership as soon as reasonably possible.
10. Confidentiality
Organizers may have access to confidential information, including:
- Vendor applications.
- Financial information.
- Payment records.
- Complaint files.
- Internal planning documents.
- Business strategies.
- Personnel information.
Confidential information shall be shared only with individuals who have a legitimate business need to know or as otherwise required by law.
11. Continuous Improvement
Organizers are encouraged to continually improve their knowledge and leadership skills.
This includes:
- Learning from each event.
- Listening to constructive feedback.
- Sharing best practices.
- Supporting fellow organizers.
- Participating in training opportunities.
- Seeking ways to improve Network events.
12. Compliance
Organizers are expected to comply with:
- All Network policies.
- Applicable federal, state, and local laws.
- Venue requirements.
- Safety regulations.
- Financial procedures.
- Vendor agreements.
- Brand standards.
- Decisions made by Network leadership.
13. Accountability
Organizers are accountable for their decisions and actions.
Failure to uphold this Code of Ethics may result in corrective action, including:
- Coaching.
- Additional training.
- Written warning.
- Temporary suspension of organizer responsibilities.
- Removal from leadership positions.
- Revocation of authorization to organize or represent events operated under The Crafter’s Market Network.
The Network reserves the right to determine the appropriate response based upon the nature and severity of the conduct. Decisions regarding organizer discipline are made solely by the Network and are final.
14. Leadership by Example
Organizers are expected to model the standards they expect from others.
They should consistently demonstrate:
- Kindness.
- Professionalism.
- Reliability.
- Integrity.
- Respect.
- Patience.
- Accountability.
- Servant leadership.
Strong leadership creates stronger events, stronger businesses, and stronger communities.
