Thank you for being part of The Crafter’s Market Network, operated by Hearthstone Enterprises, LLC (“the Network”).
Our goal is to create organized, welcoming, family-friendly marketplaces where vendors can succeed, shoppers can discover amazing small businesses, and communities can come together.
These Vendor Guidelines explain what you can expect before, during, and after each event. They are designed to help every market run safely, professionally, and successfully.
These Guidelines supplement the Vendor Agreement and other published Network policies. In the event of any conflict, the Vendor Agreement governs.

We’re excited to have you join one of our events!
Whether this is your first market or your fiftieth, our team is committed to providing a positive experience built on communication, professionalism, and community.
Our markets showcase talented makers, artists, specialty businesses, boutiques, food vendors, and entrepreneurs while creating an enjoyable shopping experience for everyone.
Before You Apply
Before submitting your application, please make sure:
- Your products meet our Product Eligibility Policy.
- You have reviewed the Vendor Agreement.
- You can remain for the entire event.
- You understand our Payment and Cancellation Policies.
- You possess any licenses or permits required for your business.
- You understand that submitting an application does not guarantee acceptance.
Application Process
Step 1
Submit your vendor application.
Step 2
Applications are reviewed by the Network.
Step 3
If approved, you’ll receive an official approval email with payment instructions.
Step 4
Payment must be received within seven (7) calendar days unless otherwise stated.
Step 5
You’ll receive additional event information as the event approaches.
Before the Event
Approximately one to two weeks before the event, you’ll receive:
- Vendor Information Packet
- Event schedule
- Setup instructions
- Booth assignment (when applicable)
- Parking information
- Load-in procedures
- Important reminders
Please review all event communications carefully.
What to Bring
Bring everything needed to operate your booth successfully.
Recommended items include:
- Tent (outdoor events)
- Proper tent weights (minimum 40 pounds per leg for outdoor tents unless otherwise specified)
- Tables
- Chairs
- Table coverings
- Product displays
- Business signage
- Extension cords (if electricity was purchased)
- Cash and change
- Card reader
- Business cards
- Shopping bags
- Water and snacks
- Weather-appropriate supplies
Setup & Check-In
Please arrive during the designated setup period.
Upon arrival:
- Check in with event staff.
- Follow directions from organizers and volunteers.
- Unload efficiently.
- Move your vehicle before completing booth setup if requested.
- Complete setup before the event opens.
Late arrivals without prior communication may forfeit their booth assignment.
During the Market
Help us create an outstanding experience by:
- Keeping your booth staffed during all event hours.
- Displaying products professionally.
- Maintaining a clean booth.
- Being courteous to neighboring vendors.
- Keeping walkways clear.
- Following directions from organizers and staff.
- Reporting safety concerns immediately.
Every vendor contributes to the success of the event.
Customer Experience
We encourage every vendor to:
- Welcome shoppers warmly.
- Answer questions honestly.
- Clearly display pricing.
- Provide excellent customer service.
- Represent your business professionally.
Happy customers return—and they bring friends.
Booth Expectations
Please:
- Keep all displays within your assigned booth.
- Secure tents, displays, and merchandise.
- Maintain a safe shopping environment.
- Respect neighboring booths.
- Keep music and demonstrations at appropriate levels.
- Avoid blocking aisles or emergency access.
The Network may request reasonable adjustments if necessary for safety or marketplace presentation.
Outdoor Events
Outdoor vendors should prepare for changing weather.
Recommended supplies include:
- Tent weights
- Sidewalls
- Fans
- Battery-powered lighting
- Rain protection
- Extra water
Events are generally held rain or shine unless the Network determines conditions are unsafe.
Food Vendors
Food vendors are responsible for complying with all applicable health department regulations.
Please ensure that you:
- Display required permits.
- Maintain safe food handling practices.
- Keep cooking and preparation areas clean.
- Follow all applicable health and fire safety requirements.
Photography & Media
Photos and videos may be taken throughout the event.
By participating, you acknowledge that photographs and recordings may be used by the Network for website content, social media, advertising, newsletters, and future event promotion as outlined in our Photography & Media Release.
Breakdown
Please remain open until the official closing time.
After the event:
- Pack your booth safely.
- Remove all trash.
- Leave your space clean.
- Follow staff instructions regarding vehicle access.
Early breakdown negatively impacts the customer experience and is not permitted without prior approval from the Network.
Weather
Events are generally held rain or shine.
If severe weather or other circumstances require a delay, relocation, modification, or cancellation, the Network will notify vendors as quickly as reasonably possible using the contact information provided during registration.
